As a public body, the City of Vaudreuil-Dorion is subject to the Act respecting access to documents held by public bodies and the Protection of personal information.

The City has established policies to ensure the protection of personal information and the right of access to documents and recognizes the importance of respecting privacy and protecting the personal information it holds.

Request for access to documents

Please review the information contained in the following sections before making a request for access.

Application and scope

The Act respecting access applies to documents held by the City of Vaudreuil-Dorion in the exercise of its functions, whether it is the City or a third party that is responsible for their safekeeping.

The Act applies to all documents, no matter the form, be it written, graphic, audio, visual, electronic or other.

Right of access and admissibility of the request

Any person who requests it has the right to access documents held by the City of Vaudreuil-Dorion, subject to other provisions included in the Act respecting access.

The City is required to protect the personal information contained in the documents it holds.

This right of access:

  • Applies to documents only. It is not a right to information or explanations. If that is the case, refer to the section entitled Request for information and Access to public documents;
  • Applies strictly to documents whose release requires no calculation or comparison of information;
  • Applies only to documents that existed at the time of the request in their exact form;
  • Does not extend to personal notes written on a document, sketches, outlines, rough drafts, briefing notes or other items of a similar nature.

The request must:

  • Be specific enough to allow for the identification of the documents;
  • Include all necessary consents where applicable, without which restrictions to certain documents may apply;
    - If you are making a request on behalf of another person, please fill out the Third-party authorization form (in French);
    - If your request is related to a property of which you are not the owner, please fill out the Owner Consent Form (in French).

The information provided will be treated confidentially and will only be communicated to authorized persons responsible for processing your request.

Processing time

The person responsible for access to documents and the protection of personal information must respond to a request no later than twenty (20) days following the date of its receipt.

If processing the request within the specified timeframe does not appear feasible without causing a disruption to the public organization’s normal course of activities, the person responsible may extend the deadline by a maximum of ten (10) days. In such cases, the requestor must be advised in writing within the first twenty (20) days following the request.

Please also note that if deadlines are not met, the person responsible for access is considered to have refused access to documents. Please refer to the section Review of a denied request to know your recourse rights.

Review of a denied request

If access to a document is denied, whether in full or in part, the person who made a written request may file an application for review with La Commission d’accès à l’information du Québec in the 30 days following the decision made by the person responsible for access to documents.

Consultation

The requestor can obtain a copy of the document by mail or email, unless there is a risk its reproduction might harm its safekeeping or pose serious practical difficulties due to its form.

The right of access to documents can also be carried out by on-site consultation during City Hall’s operating hours.

Fees

Access to a document is free. However, fees may apply in connection with the regulations entitled Regulation respecting fees for the transcription, reproduction or transmission of documents or personal information and Règlement n° 1709 imposant un mode de tarification pour le financement de certains biens, services ou activités.

Rights

When you provide your personal information as part of obtaining a service or when you fill out an online form, you consent to the use of this information by the staff members responsible for the service.

You can refuse to provide your consent by abandoning the pending request or by withdrawing it at any time by contacting us. However, there is a possibility we may no longer be able to provide you with certain services.
